Summary of Role & Purpose

The Bid Manager is responsible for assembling and managing the bid, the process and stakeholders to prepare winning bids for the company. The Bid Manager will use the bid process, flexing as necessary, to efficiently manage and own the end to end process relevant to their bid delivering the submission on time and in full. This will include, where relevant, the ability to deliver or present the bid in territory. The Bid Manager will be responsible for multi-year, multi-level (PQQ, ITT, and RFP) and high-profile strategic bids.

This will involve working closely with the sales team, pre-sales resource, SDMs and general service delivery teams. It will require a consultative approach coupled with a good technical understanding.

 

Core Deliverables:

  • Manage the bid qualification (bid go / no go) process for new opportunities.

  • Lead storyboard sessions with bid / proposal team members and key stakeholders.

  • Proactively develop and manage a network of subject matter experts.

  • Develop a proposal structure.

  • Document template management in line with company branding

  • Identify and re-work existing pre-written content where relevant

  • Re-write / edit proposal responses from a variety of stakeholders, typically involving contributions from sales, marketing, technical / product teams, finance, commercial, legal and delivery.

  • Actively coach sales teams and subject matter experts in writing best practice.

  • Collate all new proposal content for addition to the knowledge base for potential re-use.

  • Risk tracking and management throughout the bid process

  • Contributing to the written proposal - both in terms of content and presentation (such as preparation of a management summary)

  • Manage the bid budget

  • Arrange all post bid reviews with customers, post contract award

Legal Requirements

The post-holder must be entitled to live and work in the UK. The position may involve visits to NHS Hospital sites, secure public sector sites and other business premises. Employment may therefore be subject to the satisfactory completion of a CRB check.

 

Environment Requirements

The position may require periodic travel in the UK, and periodic overnight stays. A full UK driving license is essential.

SOLAR O&M COORDINATOR

Exciting new opportunity for someone looking for a new role as a Solar O&M Coordinator.

Summary

Verelogic is looking for an experienced Solar O&M Coordinator to be based from either our clients Kings Langley or Exeter office.

The overall purpose of the role is to assist with contractual and statutory compliance for a portfolio of O&M contracts, in accordance with company safety, quality and environmental systems. The key objectives are to help maximise the production from client assets, increase maintenance efficiency and achieve a high level of safety performance.

The ideal candidate will be from a coordination or administration background with some experience of maintenance procedures or operating assets. A high level of organisation and computer literacy is required to be successful in this role. This is a permanent role which is primarily home/office based near Exeter or based at Kings Langley, with occasional travel to operational sites and our client’s offices.

The O&M Coordinator shall focus on the daily, weekly and monthly needs of the O&M service, supporting the regional O&M managers and other staff to deliver the service in a safe, compliant, professional, and cost effective manner.

 

Core Responsibilities:

  • Responding to daily requests for support from the site technicians, prioritise any issues, and escalate as required

  • Achieve and maintain Authorised Person status commensurate with training received, experience gained and in-line with individual job role requirements

  • Monitoring compliance with maintenance schedules, ensure high quality of documentation of completed maintenance, identify upcoming maintenance tasks, highlight overdue items for attention, action low stock items.

  • Compiling summaries of maintenance work completed, collating photographs, and drafting relevant insights, for monthly client reporting.

  • Stock management and procurement of materials. Lead an improvement activity to increase the quality and efficiency of this task.

  • Support technicians with skip/plant hire and waste disposal needs.

  • Coordinate vehicle maintenance

  • Coordinate equipment and tool calibration

  • Administer equipment warranty claims

  • Coordinate PPE maintenance and new orders

  • Maintaining a Computerised Maintenance Management System (CMMS) and other quality management tools as necessary

  • Ensuring client invoicing for any chargeable items (including spare parts) is carried out accurately and promptly

  • Provide administrative support for field technicians, including booking travel & accommodation

  • Help organise team meetings and annual team events

  • Manage the grounds maintenance needs of the site in accordance with the contract, including liaison with technicians, sub-contractors, internal support staff and client. This includes budgeting, pricing, contracting, scheduling, reviewing RAMS, planning works, and progressing follow-up actions.

  • Progress corrective maintenance of civils structures including framework, foundations and fencing. Undertake warranty claims as required.

  • Support monthly & annual reporting tasks.

  • Contributing to Thrive cost saving and other company initiatives

  • Partially deputising for the O&M manager, including approval of Upkeep WOs

  • Analysis of maintenance KPIs and highlighting trends and anomalies

  • Tracking and compiling the compliance score for solar O&M

  • Supporting the monitoring and escalation of site performance

  • Other duties commensurate with the role
