Case Study: Delivering a unified collaboration platform: Google Workspace to Microsoft 365 Migration

The Goal 


As part of a digital workplace initiative, Verelogic IT Solutions partnered with a leading UK organisation to deliver a structured migration programme from Google Workplace to Microsoft 365.

 

The objective was to standardise collaboration and productivity tools, improve user experience, and reduce the operational overhead associated with supporting multiple platforms.  


The organisation had developed a mix of collaboration technologies over time, resulting in a fragmented environment that impacted governance, supportability, and consistency for end users.  


The client sought to consolidate to Microsoft 365 as its main productivity platform, while ensuring business continuity and minimising disruption during the transition.  


The Challenge 


This migration needed to be completed without interrupting the company’s day-to-day operations. An estimated 300 users were in the scope for this initial phase, with the requirement to maintain coexistence between Google Workspace and Microsoft 365 during the transition period.  


One particular challenge was the organisation’s extensive use of inter-document linking across Google docs and sheets. Many business-critical processes relied on embedded links between files, making it essential for document relationships to be preserved following migration.  





 

Verelogic’s Approach 


The team at Verelogic adopted a phased, delivery-led approach focused on risk reduction, governance, and user-readiness.  


Completing early technical discovery assessed the existing environment, identity model, data volumes, and document dependencies. This was complemented by stakeholder workshops to confirm business requirements and success criteria.  


We used a pilot migration to validate tooling, performance and user experience. Any lessons learned were incorporated into migration runbooks and communications before scaling to wider user groups. Users were then migrated in controlled waves, enabling coexistence between platforms and reducing business risk.  


Change and adoption considerations were embedded throughout the project to ensure both IT teams and end users were prepared for the transition.  

 

What We Delivered 


Here is what we accomplished at the end of this project:  


  • Migration of Google Mail to Exchange Online using a staged and consistent approach 

  • Migration of user data from Google Drive to One Drive  

  • Deployment of Microsoft Teams and SharePoint using standard, out of the box functionality  

  • Identity and access validation to support hybrid operation during transition  

  • Targeted assessment and validation of inter-document links to protect business critical workflows 


Clear governance and regular checkpoints ensured scope control, issue management, and alignment with business priorities throughout delivery.  

 

The Result 


This project delivered a controlled and well-governed transition to Microsoft 365, enabling the client to standardise its collaboration platform, improve user experience, and simplify ongoing support operations.  


By preserving critical document relationships and embedding change readiness into the delivery approach, the organisation was able to transition with confidence and minimal post-migration remediation.  


This engagement established a scalable Microsoft 365 foundation that supports the client’s long-term digital workplace strategy and future transformation initiatives.
